Authenticate Text Messages: A Practical Checklist
A source-review checklist for identity, device control, source exports, timestamps, metadata, context, and certification questions.
The short answer
Authenticating text messages means showing enough to support a finding that they are what you say they are. Under Federal Rule of Evidence 901 and its state equivalents, that is a threshold question rather than a conclusion about whether the messages prove anything. The bar is lower than most people expect and the routes are varied: testimony from someone with knowledge of the conversation, distinctive content only the purported sender would plausibly know, phone or account records tying a number to a person, evidence of who controlled the device or account, or a certification of records kept by the provider. What usually weakens a record is not the absence of an expert but unexplained gaps — a screenshot with no visible date, a thread that begins mid-conversation, or a file edited without a note of who changed it and when. Electronic evidence certification
Federal Rule of Evidence 902 includes categories for self-authenticating evidence, including certified records generated by an electronic process and certified data copied from an electronic device, storage medium, or file. Whether those paths apply depends on the record and the court. For many users, the immediate step is not certification. It is preserving a clean source trail so counsel or a qualified reviewer can decide what foundation is needed.

Authentication is built from signals
Message authentication is rarely one field. A reviewer may look at device access, account control, phone numbers, contact names, timestamps, conversation continuity, reply behavior, attachments, corroborating facts, and witness knowledge. Authentication signal checklist

Conversation continuity, reply patterns, known facts, attachments, and references to real-world events. Timestamps, timezone assumptions, edit or deletion indicators, and message order consistency. Witness or owner knowledge that may explain device control or conversation history. Source notes such as cropped screenshots, missing media, manually edited spreadsheets, or unsupported fields.
Closing review checklist
The authentication handoff should separate strong signals from weak signals. A phone number visible in an export, a consistent reply pattern, a device owner statement, and a screenshot contact name do not carry the same weight. A review packet should preserve each signal and let qualified counsel decide how much it matters. Practical review note
If the same conversation appears in several files, preserve the comparison rather than picking one copy silently. Duplicate exports, screenshots, and report excerpts can support each other, but only when the packet explains which version each citation uses.
What does it mean to authenticate text messages?
Under FRE 901 it means producing enough support for a court to find that the messages are what you say they are — this conversation, between these people, on these dates. It is a lower bar than proving the content true, but it is not automatic. Testimony from a participant, distinctive detail within the messages, account and device evidence, or a certification under Rule 902 can each supply it.
Can software authenticate messages automatically?
No. Software can organize the signals authentication rests on — an intake checksum, sender identifiers, timestamps, and visible gaps — and it can make later changes detectable. But authentication is a finding a court makes about whether the evidence is what you claim, based on testimony and context the file does not contain. No tool can supply that, and any product claiming to authenticate messages outright is overstating what it does.
Why is sender identity hard?
Because a display name proves almost nothing about who typed a message. Contact names are local labels the phone owner chose, not verified identity. Phone numbers get reassigned, accounts get shared within a household, and a device can be left unlocked. A screenshot showing a name at the top of a thread establishes what that phone displayed, which is a different claim from who sent the message.
